To import a bank statement into QuickBooks Online, upload a transaction file (QBO, QFX or CSV, with QBO preferred) from the Bank transactions page, map its columns and pick the rows to add. If your bank only gives you a PDF, convert it to CSV or QBO first, check it, then upload.

Quick answer: QuickBooks Online takes QBO, QFX and CSV transaction files up to 350 KB and 1,000 lines each. Go to Accounting, then Bank transactions, open the Link account menu and choose Upload from file. A CSV needs three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit).

Which files can you import into QuickBooks Online?

QuickBooks Online accepts a list of transactions as a QBO, QFX or CSV file, and Intuit suggests QBO first. The upload steps on the same help page also mention .txt and .ofx files. Each file must be in English, 350 KB or smaller, and hold no more than 1,000 lines, one transaction per line. If your file is bigger, split the date range into smaller batches.

These rules come from Intuit's help article Manually upload transactions into QuickBooks Online. The same page says QuickBooks can also read an account statement uploaded as a PDF or an image (JPG, PNG or HEIC). It shows the extracted lines side by side for you to review, and when some items need review, Intuit's team may check the statement before the transactions appear.

A transaction file is still the more predictable route. You can open a CSV in Excel, see every row before it reaches your books, and upload the same file again if something goes wrong.

What you need before importing

You need the right account set up in QuickBooks, a clean file covering the right dates, and a plan for duplicates. Get these sorted before you open the upload screen:

  • The account: Check your Chart of accounts for the bank or credit card account you are importing into. Intuit recommends this step to avoid creating duplicate transactions. You can also add a new account during the upload.
  • The date range: If the account already has transactions in QuickBooks, start the file the day after the last one. For a new account with only an opening balance, start on the opening balance date.
  • Bank rules (optional): Set up rules first if you want imported transactions categorized as they come in.
  • Not a subaccount: QuickBooks Online does not currently support importing into a subaccount.
  • The file itself: A QBO, QFX or CSV export from your bank, or a file converted from your PDF statement.

How to import a bank statement into QuickBooks Online, step by step

Once your file is ready, the upload is six short steps. QuickBooks screens change from time to time, so check the menu names against Intuit's upload guide if yours look different.

Step 1: Open Bank transactions

Go to All apps, then Accounting, then Bank transactions. If you see a tile for the account you want, select it.

Step 2: Choose Upload from file

Open the Link account dropdown and select Upload from file. If the account isn't connected to online banking, you'll see Upload from file or a link to upload transactions manually instead.

Step 3: Select your file

Select Drag and drop or select files, pick your QBO, QFX or CSV file and select Continue.

Step 4: Pick the QuickBooks account

In the QuickBooks account dropdown, choose the account the transactions belong to. If it doesn't exist yet, select Add New and create it. Then select Continue. For a credit card statement, pick the credit card account, not a bank account.

Step 5: Map the columns

For a CSV, QuickBooks asks which column holds the date, the description and the amount. Match each one, choose the date format your file uses, and select Continue. QBO and QFX files skip most of this because the fields are already labelled.

Step 6: Check the signs and pick the rows

Look at the review screen. Money in should be positive and money out negative. If every amount is the wrong way round, select reverse all values. Tick the transactions you want, select Continue, then Yes and Done.

Converting a PDF statement first

Most banks give older statements only as PDFs, so you need to turn the PDF into a CSV or QBO file before QuickBooks can use it as a transaction list. Upload the PDF to our bank statement converter and it pulls out four columns: date, description, amount (money out as a negative number) and balance.

Before you download, the converter checks the running balance on every row against the statement's printed balances and flags any row that doesn't add up. That catches a missed line or a misread amount before it reaches your books. Three pages a day are free without an account and 15 with a free account. QBO, OFX and QIF files come with the paid plans.

To get a CSV ready for QuickBooks, delete the balance column. What's left is the 3-column layout QuickBooks wants: Date, Description, Amount. If you're on a paid plan, download the QBO file instead and skip the column mapping. Banking with Chase? Here's a walkthrough for importing Chase transactions into QuickBooks.

Each of our bank guides covers where to find the PDF and how that bank lays out its statements. Start with Chase statement to Excel, Bank of America statement to Excel or Wells Fargo statement to CSV, or browse all supported banks.

Fixing QuickBooks import errors

Most failed uploads come down to the date format, the column mapping, the CSV layout or duplicate rows. Intuit lists the error messages in Fix bank upload errors and Common errors for importing bank transactions using CSV. If your bank already gave you a CSV that QuickBooks rejects, our free QuickBooks CSV Fixer sorts out the columns, dates and amount signs in your browser.

Date format

Every date in the file must use the same format, and it must match the format you choose during mapping. Intuit recommends dd/mm/yyyy. In Excel, set the date column to Short Date. If your bank puts the weekday in the date cell (for example "TUE 03/10/2026"), split it out with Data, Text to Columns, using a space as the delimiter.

Wrong column mapping

If QuickBooks can't read the data, you probably mapped the wrong columns. Delete any column you don't need, rename the rest to Date, Description and Amount, and upload again. Remove currency symbols and thousands separators by setting the amount column to General, and strip special characters out of descriptions with find and replace.

3-column vs 4-column CSV

QuickBooks reads two CSV layouts:

LayoutColumnsWatch for
3-columnDate, Description, AmountMoney out must be negative. Our converter's CSV already uses this layout once you delete the balance column.
4-columnDate, Description, Credit, DebitHeaders must say Credit and Debit, without the word "amount". Leave zero cells blank.

A 4-column file that contains only money-out rows can fail to upload. Intuit's workaround is to add one dummy line with a positive amount and untick it on the final screen.

Duplicate rows

Duplicates usually come from overlapping date ranges, or from uploading a period the bank feed already downloaded. Start the file the day after the last transaction already in QuickBooks. On the row selection screen, untick anything you can see is already in your books.

Other error messages

"Invalid transaction amount" means one amount has 12 or more digits. Remove that line, enter it by hand and upload the rest. "Different type than these accounts" means you picked, say, a checking account for a savings file. "Unable to upload the file" is usually a timeout, so wait a few minutes and try again.

QuickBooks import questions

Can QuickBooks Online import a PDF bank statement?

Yes. Intuit's help page says you can upload an account statement as a PDF or image and review the extracted lines before saving. Some statements may be checked by Intuit's team first, so converting to CSV or QBO yourself is quicker when you want to check every row.

How far back can I import bank transactions into QuickBooks?

Intuit's upload guide says to start the file as far back as you want QuickBooks to track, and its CSV guidance says a QFX, QBO or OFX upload lets you bring in more than 90 days. Each file is capped at 1,000 lines and 350 KB, so split long histories into several files.

Should I use CSV or QBO for QuickBooks?

Intuit suggests QBO first because the fields are already labelled and there is little to map. CSV works fine too and is easier to check in a spreadsheet before you upload.

Why are my amounts reversed after import?

Intuit notes that credit card files can list transactions in reverse order and show deposits as negative amounts. Upload them to the credit card account and, if the signs still look wrong, select reverse all values on the review screen.

Do I need to delete the balance column before importing?

Yes, for a CSV. QuickBooks expects only Date, Description and Amount (or Credit and Debit), so remove the balance column or any other extra columns first.
