UK bank statement guides

Each of these eight banks has its own guide, with the menu that holds the PDF, how many years it keeps and which exports it offers.

Use an online bank? We also have a Revolut statement to Excel guide and a Wise statement to Excel guide.

What UK bank statements have in common

UK statements put the day first in dates, identify the account by sort code and account number, and usually split money in from money out.

A date such as 03/02/2026 means 3 February, not 2 March, and many rows show a written date like 3 Feb with no year. The converter reads UK dates day first and takes a missing year from the statement period, so a December to January statement stays in order.

The top of a current account statement normally gives your name, the account name, sort code, account number and the dates covered. HSBC's guide to understanding your statement lists a summary with opening balance, payments in, payments out and closing balance, which is typical. Separate paid in and paid out columns, minus signs and CR or DR markers all end up as one signed amount column, with money out negative.

Descriptions are often short codes. NatWest's statement abbreviations page explains D/D (direct debit), S/O (standing order), POS and C/L, and other banks use similar codes. They come through unchanged in the description column, so you can filter on them.

Built-in exports differ a lot. HSBC offers xls and CSV, Monzo offers CSV and QIF, and Nationwide only offers midata. These exports are lists of transactions for a date range, not statements: they don't carry the statement's balances. Converting the PDF keeps the statement period, checks each running balance and flags any row that doesn't add up.

Keeping statements for HMRC

If you send a Self Assessment tax return on time, GOV.UK says to keep your records for at least 22 months after the end of the tax year the return is for. If you send it late, keep them for at least 15 months after you sent it. Self-employed people must keep business records for longer. The details are on GOV.UK's page how long to keep your records.

If records go missing, GOV.UK suggests asking your bank for copies of statements. It's easier to save the PDFs as you go, and keep the spreadsheet alongside them for totals.

UK bank statement questions

Can I convert a statement from a UK bank that isn't listed?

Yes. The converter reads PDF statements from any bank, including building societies and online banks not covered here. The guides on all bank guides cover the most-used banks step by step.

Will 03/04 be read as 3 April?

Yes. UK statements are read day first, so 03/04 becomes 3 April. Check the first few rows against the PDF before importing a full year.

Do I need a statement or a transaction download?

A mortgage lender or letting agent normally wants the statement as the bank issued it, with its period and balances. A transaction download is fine for budgeting, but converting the PDF gives you both the rows and the balances.

Can I get a file for Xero or QuickBooks?

Excel and CSV are free and import into both. QuickBooks (.qbo), OFX and QIF files come with the paid plans; see importing into Xero for the steps.

How many pages can I convert for free?

You can convert 3 pages a day without an account, or 15 with a free account. If you aren't signed in, uploaded files are deleted after 24 hours.
